Your Profile 

  • You are in your final year of a Master Degree (Engineering, Logistics & Supply Chain, Business School or equivalent),
  • You have a strong interest for Digital Innovation
  • You have prior experience in one of these areas:- market analysis, trading operations, risk or have gained some experience in logistic optimization or economic model development 
  • You are fluent in English and French
  • You have a good proficiency in Excel and PowerBi
  • You are flexible, goal oriented, fast adapting and you are recognised for your strong communication skills

Activities

What you will do 

Activities 

Your responsibilities will mainly be the following: 
 

Procurement of services 

  • Inspection

    • Run a diagnosis of the inspection companies with which we don't have contracts (Framework Agreement) or price agreements (Request For Proposals - RFPs) in place yet, and depending on priorities defined in coordination with the GM OTS (relative to global inspection costs), engage the process to have Framework Agreements signed.
    • Use our in-house procurement tool called TROPIC to run RFPs and/or Tenders for selected inspection companies.
    • While launching RFPs, onboard desk managers to manage RFPs for their own activities and run a feasibility study on how to make the TROPIC tool autonomous with minimum admin maintenance. Depending on the results of the study, develop a guideline to have users (desk managers and trading operators) fully autonomous in running RFPs on TROPIC, comparing service prices, etc.
  • Superintendents & Customs Agents (Subject to TROPIC's current developments)

    • Assist the Loss Control and Customs specialist to structure the service price for superintendents and customs agents under TROPIC, and run RFPs to collect rates from these service providers.

Digital & AI for Experts 

The experts team (OTS) puts its expertise at the service of trading operators and traders, which is key to T&S activities. With today's digital revolution, continuous changes and in-house turnover, the question is how to leverage AI and digital tools to help our team of experts to develop, maintain and perpetuate its deep knowledge and know-how in order to and better serve its clients.  

This project can be split in two topics: 

  • Availability of information to end users:

    • In collaboration with the Knowledge Management project team, map the existing knowledge of the team OTS (information repositories, type and structure of information, etc)
    • With the available digital tools, propose a solution to structure the existing information, to incorporate new information not already digitalised, and to migrate these information to the final repository as defined by IDS.
    • Suggest an architecture or catalogue to make the relevant knowledge easily available to the team of experts itself and to the end users.
  • Augmented experts (leverage technology to enhance capabilities of Experts in their daily routines): 

    • Map the expertise or activities of the OTS team that could be augmented by AI
    • Feasibility study: explore the potential of selected expertise and target a priority list with best potential with AI.
    • Draft project plans on targeted fields with scope, deliverables, resources required
    • Run POC (Proof Of Concept) when relevant, in coordination with GM OTS.

We have an exciting new opportunity to join our Operations Technical and Services (OTS) team in Geneva as a Procurement intern.

Job Dimension 
 
You will be active in the T&S Trading Operations department, and will be part of a team of 30 experts servicing T&S Trading Operations and Front Office, to enable business operations and preserve PnL. The spectrum of expertise ranges from Customs, Shipping Documents, Invoicing, Loss Control, Barge Chartering, Product Stewardship, to OPS data Project Management. 

The Operations Technical and Services (OTS) team is managing the commercial relationship with contractors, such as inspection companies, additives suppliers and superintendents. Key figures (2020): approx. 10-000 inspection jobs, 600 additivation jobs, 600 superintendent jobs. 

You will be working in the fast paced environment of international oil trading. The operations teams continuous interactions both internally with different departments (such as trading, chartering, operations, invoicing, legal department, HSE, vetting, credit, compliance) and externally with trading counterparties, vessel owners, bunker supply companies barge owners, is part of the daily job. 

As a Procurement Analyst Intern in OTS team, you will: 

  • Gain an in-depth understanding of the daily tasks of operations teams with a focus on service providers and project management.
  • Use effectively procurement tools to run Tenders or RFPs with service providers and explore latest digital tools and AI to accelerate business operations.
