Description du poste
- Calendar and Travel Management: Overseeing complex scheduling and organizing travel arrangements for executives and team members
- Communication Coordination: Monitoring and managing emails, calls, and mail, while coordinating with both internal and external contacts
- Meeting and Conference Planning: Organizing internal and external meetings, conferences, and other events, ensuring logistical arrangements are in place
- Expense and Invoice Management: Administering travel expenses, processing invoices, and handling relevant documentation
- Document Preparation: Assisting with the preparation of PowerPoint presentations, reports, and other materials on request
- Office Support: Providing back-up support for office management, including facilities, supplies, and ad hoc administrative tasks as needed
Description du profil
- Commercial Diploma (KV) or Relevant Secretarial Training: The ideal candidate should possess formal education in business administration or secretarial work, providing a solid foundation in administrative processes, office management, and communication
- +5 years of experience in a similar role, ideally in an international company
- Fluency in both German and English: bilingual proficiency is essential, as the role involves frequent communication with both local and international stakeholders. This ensures smooth and effective correspondence, whether through emails, phone calls, or during meetings, in both German (for local interactions) and English (the international business language)
- Proficiency with MS Office Tools (Word, Excel, PowerPoint)
- A strong sense of responsibility, confidentiality, and a solution-oriented mindset: the role demands a high degree of accountability and ownership over tasks. Handling sensitive information requires strict confidentiality and discretion, especially in an executive setting
